Self-assessment

AI use you do not know about: ten questions

Ten questions on the rules for AI use in your organisation: which tools, which documents, who checks, and against which source. At the end there is a score from 1 to 10.

What this sheet is, and what it is not

This is a self-report sheet. It is not a measurement and not an audit: nobody checked your answers, and the score reflects only what you know and what you answered. To find out what happens in real deliverables, someone has to go through them against a source.

The scoring rule

A "yes" adds nothing. A "no" or "don't know" adds one open point. The score is the number of open points, and the scale starts at 1: anyone who answered "yes" to everything gets 1. You can work it out by hand, without the tool on this page.

The ranges: 1 to 3 open points, 4 to 7 open points, 8 to 10 open points.

Question 1 of 10

There is a written list of the AI tools that may be used at work.

Question 2 of 10

It is written down which documents must not be uploaded to a cloud AI tool: confidential, classified or intellectual property.

Question 3 of 10

I know which AI tools the staff actually use, including tools they chose themselves.

Question 4 of 10

Every task gets a permitted level of use before the work starts, and a task that was not labelled counts as level zero, no tool.

Question 5 of 10

Every deliverable that contains AI tool output is checked item by item against an authoritative source before it is signed or submitted.

Question 6 of 10

Every such deliverable has a verification log attached: what was checked, against which source, and the result.

Question 7 of 10

Every submission and every deliverable has an AI-use declaration attached: which tools, and which parts.

Question 8 of 10

Calculations are run in a spreadsheet or in approved calculation software, not inside the tool.

Question 9 of 10

Extensive use of a tool, including analysis and organising, is allowed only with the written approval of the person in charge.

Question 10 of 10

The staff were trained on the procedure, including one exercise done without a tool.
